Your first property record

Quick entry on the My Listings screen, photos and documents on the property page, candidate listings in the Lead Pool.

The portfolio is PropOrdo's backbone: appointments, mandates, offers and rental contracts all attach to a property. This lesson gets your first record in and introduces the property page.

1. Quick entry

From the left menu open My Listings and press Add property. The “Quick Property Entry” window opens. One field stands out: “What are you selling or letting?” Write the listing as you would say it, for example “Oba 2+1 sea view 120 m2 4,500,000 Ahmet Bey 0532 111 22 33”. PropOrdo picks out price, rooms, area, district and owner from that sentence and fills the fields below; correct anything it got wrong.

The fields underneath are Price, Type (for sale / for rent), Rooms, District. A few fields are enough; press Save and the record's own page opens, where the rest is completed.

The district list is managed under Company > Working Areas. Enter the neighbourhoods your office covers there once; the same list appears in property and client forms, so “Mahmutlar” and “mahmutlar” never become two different areas.

2. The property page

The record's page contains:

  • Photos: upload from your phone; HEIC files are converted automatically. The first photo becomes the cover.
  • Owner: picked from the Contacts directory, or created there. The owner's number is entered once and used everywhere.
  • Mandate: the agreement attached to the property; covered in detail in course three. For now, notice the “Mandate attached” line is empty; you will fill it later.
  • Responsible agent: who follows the record. A branch manager can change it later.
  • Documents and notes: title copy, floor plan, terms discussed with the owner.

3. Scope buttons: Mine / My branch / My company

Above the My Listings list there are three buttons. Mine shows only your records, My branch the whole branch, My company all branches. Agents usually work in “Mine”; managers keep “My branch” open. If you need to show another agent's property to your client, type the property number or the neighbourhood in the search box.

Note the “Mandate” row in the filters: “Expires within 30 days”, “Expired” and “No date entered” surface the gaps in the portfolio at a glance.

4. The Lead Pool: listings that are not yours yet

The Lead Pool is the list of candidate listings you would like to bring into your portfolio: portal listings placed by owners themselves, “thinking of selling” notes from the shop front. To add a candidate press Add candidate and paste a portal listing link; title, price and district are read and a record is opened.

When you press Claim on a candidate, it moves to the Sales Pipeline screen under your name and you advance it stage by stage; once you agree with the owner, a property record is created from it. If you drop it, Release puts it back in the pool for another agent to take. There is no “I was working on that listing” argument: the list shows who claimed it.

5. Sending a property list to a client

In My Listings, tick a few properties and press Add this property to the list; a selection bar opens. Pick the client and press Create link to generate a private page link for that client, which you send over WhatsApp. The client marks the properties they like and the answers land on the client record you chose. If you create the link without picking a client, the answers cannot attach to any record; the screen warns you.

Checklist

  • First property saved, with a cover photo.
  • Owner in Contacts and attached to the property.
  • Your working areas defined.
  • At least one candidate added to the pool and “Claim” tried.
