Why WhatsApp property conversations get lost, and how the agency keeps a record

Most of the real work in an estate agency happens on WhatsApp, and those conversations belong to the agent’s phone, not the agency. How to move them into the office record, and what to watch on the personal-data side.

The place where most business gets done in an estate agency is neither the portal nor the office desk. It is WhatsApp. Photos go out there, prices are discussed there, “let's meet at the door at three tomorrow” is written there, and “what do you say to this offer?” is put to the owner there. The agency's most valuable information sits on personal phones, in unbacked-up chat threads.

That information gets lost in four ways.

How conversations disappear

  • With the phone. Phones get replaced, broken or stolen. Without a backup, two years of owner conversations go in a day.
  • With the agent. When an agent leaves, the conversations leave too. The agency does not know what was discussed with that client, what price was quoted, what was promised.
  • In the chat list. An agent runs fifty chats; the buyer who wrote three weeks ago sinks to the bottom and is forgotten. Nothing reminds anyone.
  • Out of context. The conversation exists, but without knowing which property the client looked at, how the viewing went and what the owner's last price was, it means little. A chat on its own is not a file.

The result: behind the sentence “we did speak to that client” there is no record in the agency's name at all.

What “an office record” means

An office record does not mean banning WhatsApp. Banning it does not work; the clients are there. It means moving the meaningful parts of the conversation into the client's file:

  1. Messages that amount to decisions: a price offer, its acceptance or refusal, an appointment confirmation, a withdrawal.
  2. Mandate, price and terms discussions with the owner.
  3. Documents sent: contract drafts, title copies, valuation reports.

Not every “good morning” is recorded; business information is. The place for it is the client file, where the same screen shows appointments, offers, properties viewed and notes. The conversation sits alongside them and gains context.

Practical approaches

Depending on the agency's means, there are three levels:

  • Copy-and-paste discipline. The simplest. The agent pastes the decision-bearing message into the client file as a note. It works but depends on discipline; on a tired evening it does not happen.
  • Chat export. WhatsApp can export a chat as a text file. When the negotiation closes or a file is opened, that export is attached to the client record. Complete, but done after the fact, and photos are often missing.
  • A system that keeps conversation records. The agent pastes the message or the export, and the system stores it in the client file as a dated entry showing who added it. The branch manager can see it, and it stays when the agent leaves.

Whatever the level, the rule is the same: the record lives in the agency's system, not on the agent's phone.

Personal data: what to be careful about

This is where we need to slow down. A client's name, phone number, budget, property requirements and their conversations with you are personal data. In Türkiye, processing personal data is governed by the Personal Data Protection Law No. 6698 (KVKK). This article is not legal advice; for your own agency you should consult a lawyer or a KVKK specialist. Still, the main principles a manager needs to know are these:

  • The data controller is the agency, not the agent. The organisation collecting and storing client data for business purposes is the agency. The data sitting on an agent's personal phone does not remove that responsibility; it means the agency is holding data somewhere it does not control.
  • The duty to inform. The client must be told clearly who processes their data, for what purpose, for how long, and what their rights are. This is done with a privacy notice shared on the agency's website, on its forms or at first contact. A client you talk to on WhatsApp must have received that information.
  • A legal basis. Explicit consent is not required for every processing activity; there are other bases such as performance of a contract or legitimate interest. But you need to know which basis you rely on and document it. “Everyone does it” is not a basis.
  • Purpose limitation and retention. Using data collected for one property years later for a different campaign is a separate processing activity. Decide how long you keep data and delete it when the period ends.
  • Security. Who can see the data, who can export it, can deleted records be restored, who looked at what and when. Access control and an audit log belong in any system that holds personal data.
  • When staff leave. Client data on a departing agent's phone is both a loss and a risk for the agency. That is why an office record is a compliance matter, not only an efficiency one.

In one sentence: moving WhatsApp conversations into the office record means holding the data in a more controlled way, not a less controlled one. Done properly it makes compliance easier, not harder.

How to put it to the team

Telling an agent “hand over your conversations” does not work. Say this instead: keep what you discussed with the client in the file so a colleague can take over when you are on leave, so we have a record when an owner says “that's not what you said”, and so the agency survives if you move on. The record protects the agent too: which price was quoted, and when, is on file.

Conversation records in PropOrdo

In PropOrdo, conversation records work by connecting the agency's WhatsApp Business account under Company > Communication Settings. Once connected, messages sent and received on that number become the branch's record in the Client Conversations screen; the phone number is linked to a contact or a client enquiry, and the conversation shows in the client file. Who wrote what and when, and who read it, is kept in the audit log; the record stays when an agent leaves; access is limited by role and branch. If the connection is not configured, the screen says so plainly and only opens the number in WhatsApp; nothing is recorded.
